How to Create a Calendar Event QR Code
An event QR code encodes a VEVENT data block in iCalendar (iCal) format. When scanned, iOS opens the native Calendar app prompting "Add Event", and Android opens Google Calendar or the default calendar app with all fields pre-filled. This eliminates event entry errors and dramatically increases attendance rates from printed invitations and signage.
Step 1 — Select Event Type: At qrcodetechy.com/generator, choose the "Event" QR type. Fields appear for: Event Title, Start Date/Time, End Date/Time, Location, and Description.
Step 2 — Enter Event Details: Title: keep it under 50 characters for clean display. Date/Time: include timezone information (e.g., "2026-06-15 19:00 UTC+5:30" for IST). Location: use the full venue address or Google Maps URL for navigation. Description: add speaker names, dress code, registration links, or parking instructions.
Step 3 — Timezone Handling: Always specify timezone explicitly. If your event is in "America/New_York" (EST/EDT), include the TZID parameter. Events without timezone data are interpreted as UTC, which can cause attendees to show up at the wrong local time. The generator handles TZID formatting automatically.
Step 4 — Design for the Event: Use your event's brand colors and logo. For formal events (galas, conferences), use sophisticated black and gold. For festivals or concerts, use vibrant brand colors. Add a frame with "Scan to Save to Calendar" — this call-to-action dramatically increases the scan rate on printed invitations.
Step 5 — Placement Strategy: Best placements: printed invitations (bottom right corner), event programs (inside front cover), venue entrance signage, email invitation image (recipients can print and scan), and conference name badges (for networking events, link to a session schedule URL instead).
Step 6 — Test on Both Platforms: Scan with iPhone Camera → should prompt "Add to Calendar" immediately. Scan with Android → should open Google Calendar with event details pre-filled. Verify timezone, date format (month/day vs day/month varies by locale), and that the end time is correct.

VEVENT Structure
The payload begins with BEGIN:VCALENDAR and contains a VEVENT block with fields: DTSTART, DTEND, SUMMARY (title), LOCATION, DESCRIPTION, and UID (unique ID).
Date/Time Format
ISO 8601 format in iCal: DTSTART:20260615T190000Z (UTC) or DTSTART;TZID=America/New_York:20260615T190000 (local timezone). The Z suffix means UTC; omit it for local time with TZID.
Data Capacity
A complete VEVENT with title, date, location, and description uses 300–600 bytes. This requires QR Version 7–12 (49×49 to 65×65 modules). Minimum print size: 3cm × 3cm. Keep description text under 150 characters to maintain compact QR size.
